How to use expense templates for recurring costs

Web Android iOS Updated Aug 2026

Businesses log the same expenses again and again — rent, salaries paid outside payroll, utilities, subscriptions. RushFlow’s expense templates let you save a pre-filled expense once, then search → apply → tweak → submit in seconds. Templates can even carry an allocation split, so a shared cost like rent is divided across units the same way every time.

Step by step

  1. Save a templateWeb: from Create Expense, save the filled-in expense as a template (name, category, account, amount and any allocation). App: open the Finance workspace → Add expense and save it as a template.
  2. Apply it next timeWhen the cost comes round again, search your templates and apply the one you need — the fields fill in automatically.
  3. Tweak and submitAdjust anything that changed (e.g. this month’s amount) and submit. The expense posts, with its allocation, just like a fresh entry.

Where to find it

Web: Create Expense → templates. Management app (Android/iOS): Finance workspace → Add expense.

Pair templates with shared-expense allocation so recurring overheads split across units automatically.

Why templates help

They cut repetitive data entry and keep recurring expenses consistent — same category, same account, same split — so your reports stay clean month to month.
