How to record a cash expense from the POS app
Cash leaves the till for small things all day — carrier bags, tea, a courier, a quick repair. If those aren’t recorded, the drawer won’t balance at close and the money looks lost. The POS app lets a cashier record a cash expense right at the counter: it posts to your books, shows in expense reports, and is accounted for when the shift is reconciled — no laptop, no separate app.
Step by step
- Open Add ExpensePOS (Android/Sunmi): open Add Expense from the POS menu.
- Pick a categoryChoose the expense Category (required) so it lands in the right bucket in reports.
- Enter the amountType the Amount (required).
- Choose the paying accountOptionally set Paid from account — e.g. the till/cash account — so the money comes out of the right place.
- Add a note and saveAdd a short note (“What was this for?”) and tap Save Expense. You’ll see Expense recorded.
Why record it at the POS
A cash expense logged at the moment it happens keeps the drawer honest: at shift close the expected cash already accounts for what went out, so an over/short reflects real discrepancies, not un-logged petty cash. See Shift & cash drawer and the Cash register report.
Categories and reporting
Because you pick a category, POS expenses roll up in Expenses by Category alongside everything else — the counter isn’t a blind spot.
