Recording a manual online sale (phone / WhatsApp orders)
Take an order over the phone or chat and record it as an online sale, with delivery charge and cash-on-delivery.
When a customer orders over the phone, WhatsApp or Messenger, you can record it as an online order by hand — no need to wait for a website checkout. It behaves exactly like a normal online sale: it books to your online-store profit, moves stock, and supports cash-on-delivery.
How to record one
- Open Online Store → Orders and choose New order (or send a create-order request to
POST /store/orders). - Pick the customer — an existing client, or type a name and phone and one is created for you.
- Add each product and quantity. The price defaults to the product's price; you can override any line.
- Enter the delivery charge and the payment method (Cash on delivery is the default).
- Save. If you tick Fulfil now, the sale is raised immediately and stock is set aside from the branch you choose; otherwise the order stays pending until you confirm it from the Orders screen.
What happens next
Once fulfilled, the order flows through the normal online pipeline: mark it shipped, then delivered. For a cash-on-delivery order, the cash the courier collects is recorded automatically when you mark it delivered, and the amount owed already includes the delivery charge.
Tip: if an item breaks on the way to the customer, use the delivery-breakage step so the customer is billed only for what arrived — see Partial delivery: an item breaks in transit.
